Your documents, handled with care.
How project records are received, reviewed and retained.
Receive
You send your project records through your client portal or by email.
Review
Our team prepares the draft using software and checks each field against the source page.
Retain
Project records are kept for a limited time after delivery, unless a different arrangement applies.

Documents are used for your project.
You share source documents such as SKU lists, certificates, test reports and, where relevant, purchase orders. They are used to prepare your draft certificate data. They are not used for any other purpose. Please send only what the work needs.
Client portal (recommended)
Upload files to your order: PDF, XLSX, XLS, CSV, DOCX, JPG, PNG or ZIP, up to 50 MB per file and 20 files (500 MB) per upload. Each upload is checked: the file extension must be on the accepted list and the file’s content must match that type. Files that fail are rejected.
Send documents to [email protected], or through a file-sharing link we agree with you for larger sets.
This website
This website does not accept uploads. Its enquiry form only opens an email draft in your own email app.
Who can access your documents.
- In the client portal, accepted files are stored outside the public web folder under a random file name, and a SHA-256 checksum is recorded. Files can only be viewed or downloaded in the portal by the signed-in client who owns the order, or by our team. Downloads by our team are recorded in an internal audit log. The portal is served over HTTPS.
- Documents sent by email are kept in business email and cloud storage accounts that require a password and are limited to people working on your project. We do not post your documents to public websites or forums.
- We share your documents only with people on your project, and with your suppliers, labs or broker when you instruct us to. An NDA is available on request.
Software assists the draft extraction. A person checks fields against the source page.
We use software to extract information from your documents and generate a draft. A member of our team reviews the draft and checks each field against the source page. Each value in the audit trail points back to the document and page it came from.
Retention and deletion
Documents: 90 days after delivery, unless a different arrangement applies.
- Compliance Desk: documents are kept while the service is active and deleted 90 days after it ends.
- Orders cancelled before delivery: files are deleted 90 days after cancellation.
- If you ask us to keep documents longer, the later date you agree with us applies.
- In the portal, a scheduled job deletes files when their date is reached. Delivered files on the order are deleted at the same time, so please download them. Each deletion is recorded on the order’s timeline, which you can see.
- Documents received by email follow the same retention periods; our team removes them from email and cloud storage by hand.
- Copies in backups are removed as those backups expire.
Deletion requests
You can ask us to delete your documents earlier at any time by writing to [email protected]. We will confirm by email when it is done. Files we deliver to you are yours to keep after you download them.
Ask about document handling.
If you have questions about how your documents are received, reviewed or retained, please contact us at [email protected].
If your company uses a security questionnaire for vendors, send it to us and we will answer it honestly. We do not make claims about encryption beyond HTTPS in transit, and we do not hold a third-party security certification. If we learn that your documents were accessed by someone who should not have seen them, we will tell you promptly and explain what happened.
